Privacy policy

This policy explains how BusyVan handles personal information when someone visits our website, asks for a preview, becomes a customer, or submits an enquiry through a website we operate for a customer.

BusyVan is operated by Paul O Mahony, sole trader trading as BusyVan. Paul O Mahony is the data controller for personal information collected through busyvan.com and during BusyVan’s sales and customer relationships.

When a visitor submits an enquiry through a website BusyVan operates for a trade or local-service business, that business will normally decide why and how the enquiry is used. The business is the data controller and BusyVan acts as its service provider or processor. Each customer should provide its own privacy information to its website visitors.

Information we collect

Depending on how you interact with us, we may collect:

  • Your name, email address, telephone number, business name and service area.
  • Your website address, Google Business Profile information, project brief, messages, photos, reviews and other materials you provide.
  • Billing, contract and support records.
  • Technical information such as IP address, browser, device, pages viewed, approximate location and basic site-performance information.
  • Enquiry information submitted through a customer website, which may include a visitor’s name, contact details, property or service location, job description, urgency, photos and preferred callback time.

How we use information

We use personal information to:

  • Respond to enquiries and prepare requested previews or proposals.
  • Build, host, maintain and support customer websites and their enquiry assistants.
  • Deliver enquiries to the relevant BusyVan customer.
  • Provide reporting, diagnose faults, secure the service and prevent misuse.
  • Administer contracts, payments and our legal or tax obligations.
  • Send marketing only where consent exists or the law otherwise permits it.

Enquiries submitted through busyvan.com are delivered to BusyVan by email and retained as a secure backup in the website’s database. They are not routed to SMS or WhatsApp, and there is no customer-facing lead dashboard.

Our legal bases

Where the GDPR applies, our legal basis will depend on the situation. We may process information because it is necessary to take steps at your request before a contract, to perform a contract, to comply with law, because of our legitimate interests in operating and protecting the service, or because you have given consent. You can withdraw consent at any time, without affecting earlier lawful processing.

Who receives information

BusyVan enquiries are processed using OpenAI Sites and its Cloudflare infrastructure for secure storage, and Mailjet for email delivery. The notification is sent to hello@busyvan.com, which may forward to BusyVan’s monitored inbox. We may also share information with the BusyVan customer to whom an enquiry is directed and with trusted providers that support hosting, email, messaging, analytics, storage, payments, accounting, security or professional advice. They may use information only for the agreed purpose and under appropriate safeguards. We may also disclose information where required by law, to protect rights or safety, or as part of a business transfer.

International transfers

Some service providers may process information outside Ireland or the European Economic Area. Where this happens, we will use a lawful transfer mechanism and appropriate safeguards, such as an adequacy decision or approved contractual clauses, where required.

How long we keep information

The secure database backup of an enquiry submitted through busyvan.com is kept for up to 90 days and then deleted automatically. Email copies and information that becomes part of a customer relationship may be kept longer where needed to respond, deliver services, maintain business records, or meet legal, accounting, security and dispute requirements. Enquiry information submitted through a customer website is retained according to that customer’s instructions and configuration.

Security

We use proportionate technical and organisational measures to protect information. No internet service can promise absolute security. Customers are responsible for controlling access to their own accounts, devices, email inboxes and any customer-controlled hosting workspace.

Cookies and analytics

BusyVan may use essential technologies needed to operate and secure the website. If non-essential analytics or marketing cookies are introduced, we will provide the information and choices required by applicable law before using them. Customer websites may use different tools and should explain those separately.

Your rights

Depending on the law that applies, you may have rights to access, correct, erase, restrict or receive your information, to object to certain processing, and to withdraw consent. Contact hello@busyvan.com to exercise a right. We may need to verify your identity. If your request concerns an enquiry sent to a BusyVan customer, we may direct or pass the request to that customer.

You may also complain to the Irish Data Protection Commission at dataprotection.ie, or to your local supervisory authority.

Changes to this policy

We may update this policy as the service, suppliers or law change. We will post the updated version here and change the date at the top. Material changes affecting existing customers will be communicated where appropriate.
